If you already have address or contact information about your subscribers and/or customers, it is possible to import these information into BACKCLICKs database in order to personalize your newsletters.

In order to import your existing data (i.e., customer base) into BACKCLICK you have to convert your data into to an ASCII-file. The file has to be arranged in a way that every subscriber dataset has its own line. Datafields have to be separated with a tab. Provide the data field names (such as TITLE, LASTNAME) in capital letters as the first line of your file, seperated by tabs as well. This import file defines which mailing list(s) each subscriber is added to as well. That is the purpose of the fieldname "NEWSLETTER" which has HAS to be the last column.!

The import is based on the data fields of your subscriber's database you have built using the database designer. You may define data fields for the master data of your subscriber (e.g., NAME, ADDRESS), for the social demographic data of your subscriber (e.g. AGE, MARITALSTATUS) etc.. The names of the data fields in your subscriber database are called field names. It is only possible to use existing field names in your import file. This also applies to mailing list IDs: You are only able to add subscribers to existing mailing lists.

PLEASE NOTE: EMAIL and NEWSLETTER are mandatory fields, and have to be written in capital letters, like all other field names. In order to create your file you can use Microsoft Excel for example. As shown in the figure, the field names are provided as the first line of the file, followed by values for the corresponding fields. If you want to define more than one value for a field name, please use a delimiter like “;” or “-”. Do not use dots or commas, doing so may cause a system error. Save the import file in Excel as “Text (tab separated)” with your desired name.

Now, click “subscriber management” Click “Subscriber  - Management” in your Main Menu, and choose “subscriber import” “Import Subscribers” in the submenu. Use the “Search” button to search for the file on your computer. Clicking the "OK" button will display the file in the list of import files.

If you now want to start the import of importing your file, please click on the “Import” button in the corresponding column of your the table (see end of Part Fig. 3.4.2). You will see the progress of your import in a separate browser window which that will be opened by BACKCLICK. You . At the same time you will get information about invalid subscribers, new subscribers, and subscribers who were mere updates (subscriber was present in the system before, and are being updated simultaneously. ) and new subscribers.

Define default values

When importing subscriber profiles into BACKCLICK that may be partially incomplete you can define default values for empty fields here.

Anti-SPAM:

If you activate this functionWhen activating the feature Anti-SPAM, no subscriber who checked out unsubscribed from a mailing list will can be able added to subscribe to this the mailing list again. BACKCLICK observes every checkout and saves it in its database. Even in the event of a complete loss of e-mail addresses he unsubscribed from when importing. BACKCLICK registers all unsubscriptions in a database. This way, even in case of complete loss of an E-Mail address in the database, BACKCLICK will still be able to refer to the checkout unsubscription and consider it if there is to be a new importthis when re-importing

eMail-Check:

The import routine is able to check verify every eE-mail Mail address as to its syntactical accuracy, considering the RFC rules. Invalid e-mail according to RFC syntax while importing. Invalid E-Mail addresses will not be imported — they will be excluded from import. If you deactivate this function, every address, even if incorrect . When deactivating this feature even invalid addresses will be imported (e.g. , testperson@test.aolaolaolaol) will be imported by BACKCLICK. These e-mail addresses with a syntactical error will be sorted out after one of your next mailings.

The syntactically invalid E-Mail addresses will be removed from the system after your next newsletter dispatch, using the Bounce Filter (IMF-Filter). 

Activate MX-Lookup

If you activate this function, When activating this feature BACKCLICK will initiate invoke a domain check that will read the domain endings, compare them to common domain endings, and sort out the incorrect ones.

You may decide here what BACKCLICK should do with these incorrect e-mail addresses while importing. If there are any empty fields in your import file and the subscriber already gave you the information required, BACKCLICK may either erase the information or ignore the empty field (default: information in the subscriber’s database will never be erased). In that , meaning the domain of the E-Mail address provided will be compared to existing domains and faulty E-Mail endings will be sorted out.

This feature rules the way BACKCLICK deals with E-Mail addresses already present in the system. If there are empty fields within a dataset in your import file this feature decides whether empty fields delete existing subscriber information of existing subscriber datasets or are ignored (information in the subscriber database will NOT be overwritten by default). In this case the import is additive. Information which that has not been in your subscriber's database will then not present yet will be added to the subscriber's profiledataset. 

Number of data sets 

You may decide here how many data sets should be edited at once. BACKCLICK will put all your subscribers into n

datasets

Specify how many datasets of the import file are supposed to be executed at the same time. BACKCLICK splits the total number of subscribers to be imported into x blocks (e.g. , 10,000 subscribers/1,000 = 10 blocks/update per loopexecution cycles). 

PLEASE NOTE: If the value chosen value is too big and the progress update is done too often, the system might not be as stable as beforehigh, system stability and refresh rate of the progress indicator are affected, but the speed of the your import may be increased. Values you may choose Possible values are between 100 and 10,000. Default value: is 1,000.

You can activate the automatic sending dispatch of a welcome eE-mail Mail to new those subscribers on that subscribed to a new mailing list . You have already set this welcome e-mail after your import. This welcome E-Mail is already configured in your mailing - list configurationmanagement. 

Mailing lists

Description of the analysis: 

  • Name of import list: name Name of the list you just imported file/list.
  • Number of subscribers: Total number of all he the subscribers present on the list you just - imported list.
  • Invalid: the number Number of invalid subscribers/eE-mail Mail addresses is shown here (e.g., 0 of 20 imported subscribers0 out of 4 of the imported subscribers in the example shown above).
  • Double: The number Number of duplicate subscribers/eE-mail addresses which that already existed in BACKCLICK (e.g., 0 of 20 subscribersMail addresses (0 out of 4 of the imported subscribers in the example shown above).
  • Robinson blocked: the number Number of blocked subscribers/eE-mail Mail addresses is shown here. These subscribers/eE-mail Mail addresses are present on the Robinson list , and cannot be imported because the user (subscriber) has forbidden the use of his or her e-mail address for any newsletter mailing from anyone (e.g., 0 of 20 subscribersowners of these E-Mail addresses have explicitly disagreed to the use (0 out of 4 of the imported subscribers in the example shown above).

  • Number of new subscribers: the number Number of subscribers imported into the system (0 out of 4 of the newly imported subscribers is shown here (e.g., 17 of 20 subscribers are newin the example shown above).

If you want to delete an import list file from your table, you need to mark it in the box behind the list and click on in the column "delete". To confirm deletion click the "delete" - button. The file will be erased removed from the list without further notice from the system. You cannot import this file again until you upload it once more. If you have completed your imports, click on and cannot be imported without uploading it again. If you do not want to import anything click the "back" - button to get go back to the Subscriber - Management menu.
